Preview and download files

Open a document's file in your browser, download a copy, or replace it, whether the file is stored in Personal360 or linked from a drive or NAS.

Updated 16 Oct 2026

Overview

Once a document has a file, you can look at it without leaving Personal360. Preview opens the file in a new browser tab; download saves a copy to your device. This works the same for files uploaded to Personal360 and for files linked from Google Drive, OneDrive, Dropbox or a NAS — linked files are fetched live from where they live.

Every preview and download is recorded in the activity log.

Before you start

  • The document needs a file. If it only shows Attach file, there's nothing to preview yet.
  • Anyone who can see the document can preview and download it. Replacing a file needs permission to edit.

Steps

  1. Open IDs & Documents in the sidebar, or the person's page under People.
  2. Find the document. In the File column (or next to the document on a person's page) you'll see Preview and download.
  3. Press Preview to open the file in a new tab. PDFs and images display right away.
  4. Press download to save the file with its original name.
  5. To swap in a newer scan, press Replace file and choose the new file. The old uploaded copy is removed, and the new one is read for any empty fields.
Note:Browsers can show PDFs, images and text files directly. Word documents (.doc, .docx) usually download instead of previewing.

Files you can attach with Attach file or Replace file: PDF, PNG, JPG/JPEG, WEBP, GIF, TXT, DOC and DOCX.

Example

Asha Rao is at the passport office and needs her old passport's details. On her phone she opens IDs & Documents, finds "Passport", and taps Preview. The scan opens in a new tab. Because the file is linked from the family NAS, it is streamed from the NAS on demand — no copy is stored in Personal360.

FAQs

Does downloading leave a copy anywhere?

Only on the device you download to. Personal360 doesn't keep extra copies of linked files.

Who can see that I opened a file?

Previews and downloads are recorded in your household's Activity log, which members can review. See Activity log.

If I replace a linked file with an upload, what happens?

The document switches to the uploaded copy. The original in your drive or NAS is not touched.

Troubleshooting

Preview shows "Remote fetch failed" or "Storage provider not configured"

The file is linked from a drive or NAS that Personal360 can't reach right now, or storage was disconnected. Ask the household Owner to check File Storage and press Test again. See Storage troubleshooting.

"No file attached" or "File unavailable"

The document has no file, or the uploaded file can't be found. Attach the file again with Attach file or Replace file. More help: A file won't open or preview.
