Add an ID or document
Record a passport, licence, policy or any other document against a person, with its number encrypted and its expiry date watched for renewals.
Overview
Every document in Personal360 belongs to a person. You record its details — label, type, number, issuing authority, dates — and can attach or link the actual file now or later. Numbers are encrypted at rest and shown masked, and anything with an expiry date starts getting renewal alerts automatically.
You can add a document in two places: the IDs & Documents page, which lists every document in your household, or the person's own profile page.
Before you start
- You need a household and at least one person in it. If you have none, the page shows a Create household or Add a person button first. See Add a person.
- Decide where files should live before attaching any. If storage isn't chosen yet, the page shows Choose where files live. See Choose where your files live.
- You need a role that can edit: Owner or Adult, or Limited for documents filed under your own record. View-only members can see documents but not add them. See Roles and permissions.
Steps
- Open IDs & Documents in the sidebar.
- Expand Add document. It opens automatically when you have no documents yet.
- Choose the Person the document belongs to. It defaults to the person whose name matches yours.
- Pick a Type, such as
PASSPORTorINSURANCE. The Label fills in from the type until you type your own. - Fill in what you know: Number, Issuing authority, Country, State/Region, Issue date and Expiry date.
- Optionally set Alert lead days (CSV), for example
90,30,7. Leave it blank to use the default reminder schedule. - Add any Notes and press Save.
- In the new row's File column, press Attach file to upload a scan, or Link cloud/NAS file to point at a file you already keep in a connected drive or NAS.
To add from a profile instead, open People, choose the person, and use + Add single document (details only) in the Documents card.
Example
Asha Rao wants to track her passport. She opens IDs & Documents, chooses herself as the person, picks PASSPORT (the label becomes "Passport"), enters the number and an expiry date in 2029, and saves. She then presses Attach file and uploads a photo of the data page. The row shows the number as •••• 4321 and a green valid badge.
FAQs
Can I change details later?
Yes. Press Edit on the row to open the Edit document window, change what you need and press Save changes. Leave Number blank to keep the number already saved.
Is the number stored safely?
Yes. Document numbers are encrypted before they are saved and only ever shown masked, with the last four characters visible.
Can a document exist without a file?
Yes. Many people record details first and attach the scan later. Expiry alerts work either way.
Troubleshooting
I can't see the Add document form
The form only appears once your household has at least one person. Add a person first, then come back.
Save shows an error
Person, Label and Type are required. Check that all three are filled in, then try again.
