Expiry dates and renewals

Give a document an expiry date and Personal360 shows its status, flags it when renewal is near, and emails your household ahead of the deadline.

Overview

Passports, visas, licences and policies all run out. When a document has an Expiry date, Personal360 watches it for you. Every document shows a status badge, the dashboard counts what's expiring soon, and household members get email reminders before the deadline.

Before you start

  • The document needs an Expiry date. Add one when creating it, with Edit, or let Scan for data read it from the file.
  • Reminders go by email to the household members who can see the document: everyone who can see that person (a Limited member only for their own record), including members of any household the person is shared into, or the Owners and Adults for a household-level document.

Steps

  1. Open IDs & Documents in the sidebar.
  2. Press Edit on the document and set the Expiry date in the Validity & alerts section.
  3. Optionally set Alert lead days — how many days before expiry you want reminders, separated by commas, for example 90,30,7. Leave it blank to use the standard schedule: 90, 60, 30 and 7 days, unless your Personal360 administrator has set a different default.
  4. Press Save changes.
  5. Check the Status column:
BadgeMeaning
validMore than 90 days left
45d left (amber)Expires within 90 days
expired (red)The date has passed
no expiryNo expiry date recorded
  1. To see only what needs attention, click the Documents expiring soon tile on your Dashboard. It opens IDs & Documents filtered to amber and red documents. Press Clear filter to see everything again.
Tip:Sort by Expiry (the default) to keep the soonest renewals at the top. Click the heading again to reverse the order.

Example

Asha Rao's visa expires on 15 March. With the standard schedule, she and the other members of the Rao household get emails 90, 60, 30 and 7 days before. Each email lists the document, its type, who it belongs to and the expiry date, with a link back to Personal360. After she renews, she updates the Expiry date to the new visa's date, and the reminder cycle starts fresh for that date.

FAQs

Will I get the same reminder twice?

No. Each reminder point is sent once for a given expiry date. Changing the expiry date starts a new set of reminders.

What happens after a document expires?

It shows a red expired badge, and one more reminder is sent saying it has expired.

Where can I see reminders that were sent?

Open Alerts in the sidebar. It lists upcoming and overdue documents and the notification history. See Expiry alerts.

Troubleshooting

I didn't receive a reminder

Check the document has an expiry date, belongs to a person, and that the date has crossed one of its lead days. Also check your spam folder. More steps: I didn't get an expiry alert.

The badge says valid but I want an earlier warning

The amber badge always starts at 90 days. Reminders follow Alert lead days, so add a larger number, such as 180,90,30, for documents that take longer to renew.
