Expiry alerts
Personal360 emails your household before documents such as passports, visas and insurance policies expire, by default 90, 60, 30 and 7 days ahead.
Overview
Any document with an Expiry date is watched automatically. As the date approaches, Personal360 emails a reminder to each household member entitled to see that document. By default reminders go out at 90, 60, 30 and 7 days before expiry, and once more if the document has already expired.
The email shows the document, its type, who it belongs to and the expiry date, with an Open the document button.
The Alerts page in the sidebar has two sections:
- Upcoming & overdue — documents expiring within 90 days, or already expired, with a badge such as "45d left" or "expired".
- Delivery history — the last 50 reminders sent: Sent, Document, Channel, Recipient, Lead and Status (sent or failed).
Each person gets each reminder (document, lead time and expiry date) only once, so you won't get repeats — and one member receiving it never stops another from getting theirs.
Who gets a reminder: for a document filed under a person, every household member who can see that person's records — Owners, Adults and Members, plus a Limited member only if it is their own record. If that person is shared into other households, the same rule applies to the members of each of those households too. For a household-level document that isn't filed under anyone, the household's Owners and Adults. Each of them gets their own email, and nobody gets the same reminder twice.
Before you start
- Add a document with an Expiry date — see Add a document.
- Alerts go to email, so make sure your sign-in email is one you check.
Steps
- Open IDs & Documents, add or edit a document, and set its Expiry date.
- Optionally set Alert lead days (CSV) (shown as Alert lead days when editing) to choose your own reminder timing, for example
90,30,7. Leave it blank to use the default. - Save the document. Scheduled checks run automatically each day.
- Open Alerts in the sidebar to see what's coming up.
- To check right away, a household Owner can click Run scan now. You'll see a line such as "Scanned 8, triggered 1, sent 1, skipped 0." (The button sends real emails, so it is shown to Owners only.)
- Review Delivery history to confirm what was sent and to whom.
180,90,30 so the first reminder arrives in time.Example
Asha Rao's passport expires in 85 days. It appears under Upcoming & overdue with "85d left". Because 85 is inside the 90-day window, the scan sends a 90-day reminder email, and Delivery history shows Lead "90d" and Status "sent". The next reminder will arrive at 60 days.
FAQs
Do utilities and appointments get alerts?
No. Only documents with an expiry date are emailed. Utility renewal dates show a colour badge on Property & Utilities instead.
Can I get alerts on WhatsApp or SMS?
Alerts are sent by email.
Why does a document show on the Alerts page but no email was sent?
Upcoming & overdue always uses a 90-day window. Emails follow each document's own lead days, so with 30,7 you'll see the document listed before its first email.
Troubleshooting
I didn't get an email
Check spam, then look at Delivery history. A "failed" status means delivery didn't succeed. See Didn't get an expiry alert.
The page says "Alerts start once a document has an expiry date"
None of your documents have an expiry date yet. Edit a document and add one.
