Appointments and calendar

Add appointments and events by hand or import upcoming events from Google Calendar, link them to a person, and ask the assistant what's next.

Updated 16 Oct 2026

Overview

The Appointments page (titled Appointments & Events) keeps doctor visits, lab tests, visa interviews and other dates beside the records they relate to. Events belong to a household and can optionally be linked to one person.

The page has two lists:

  • Upcoming — events that have not started yet, soonest first.
  • Past — the most recent 30 past events.

Events imported from Google Calendar carry a small google tag. Every event can be removed with Delete.

Before you start

  • You need a household. If you have none, the page shows Create household.
  • Adding events and importing from Google need a role that can edit. Limited members see and add only appointments for their own record; household-wide appointments (with no person) are hidden from them.
  • Google import needs a Google account with a calendar, and Google Calendar import must be available on your installation.

Steps

To add an appointment by hand:

  1. Open Appointments in the sidebar.
  2. Click Add appointment.
  3. Choose the Household and enter a Title.
  4. Optionally pick a Person (optional).
  5. Set the Starts date (required) and, if needed, the Ends date. These are dates, not times — put the time in Notes if it matters.
  6. Add a Location and Notes if useful.
  7. Click Save. The event appears under Upcoming.

To import from Google Calendar:

  1. Click Connect Google Calendar at the top right (or Import from Google Calendar → when the page is empty).
  2. Sign in to Google and allow access.
  3. You return to Appointments with a message such as "Imported 12 event(s) from Google Calendar."
Tip:After adding appointments, ask the assistant "When is my next appointment?" or "What events do I have today?"

Example

Asha Rao adds "Dental check-up" for her father, Starts next Tuesday, Location "Example Dental Clinic". She also imports her Google Calendar, which brings in a "Passport appointment" tagged google.

FAQs

Is Google Calendar kept in sync?

No, it's a one-time import of your upcoming events (up to 50) each time you connect. Connecting again updates events already imported and adds new ones, without duplicates. Changes in Personal360 aren't sent back to Google.

Which household do imported events go into?

Your first household. Imported events aren't linked to a specific person.

Do appointments send reminders?

Not currently. Email alerts are sent for documents with an expiry date — see Expiry alerts.

Troubleshooting

"Google Calendar isn't configured on the server"

Google import hasn't been set up for this installation. Add appointments by hand, or contact support.

I see "Calendar error" after connecting

The Google sign-in was cancelled or failed. Click Connect Google Calendar and try again. If you see "forbidden", your role can't add events to that household.
