Household roles and permissions

Each household member has one role - Owner, Adult, Limited or Member - that controls whether they can edit, reveal masked values, export data or manage access.

Overview

Everyone who can sign in to a household has a role in it. The role decides what they can do with that household's records. Roles apply everywhere, including search and the assistant, so nobody can see more through the assistant than their role allows.

A person can have different roles in different households, for example Owner of their own household and Member in a sibling's.

Before you start

Steps

Understand the roles

The role menu shows these four options:

RoleViewAdd and editReveal masked valuesExport dataManage access, sharing, deletion
Owner - full controlYesYesYesYesYes
Adult - edit, reveal, exportYesYesYesYesNo
Limited - own data onlyOwn record onlyOwn record onlyNoNoNo
Member - read-onlyYesNoNoNoNo

Browsing a household's connected drive or NAS (to link files) needs Owner or Adult.

Check your role

  1. Open People in the sidebar.
  2. Your role is shown next to each household's name.

Change someone's role

  1. Open the person's profile from People.
  2. In Login & access, click Change.
  3. Pick a new Role and click Grant.
Tip:Give Adult to a partner who needs to manage records day to day, and Member to someone who only needs to look things up.
Note:Limited is meant for teenagers. A Limited member sees and edits only the person record linked to their login and what is filed under it — their documents, medications, reports, health profile, history and their own appointments. They don't see other members, household-level items (unfiled documents, utilities, household appointments, storage settings), and can't add people, reveal full ID numbers or export.

A Limited member's access follows the login email on their person record. Open their profile from People, use Login & access, and grant Limited there — that both gives them the role and links them to that record. If someone is Limited but no record carries their email, they see nothing until an Owner links it.

Example

In "the Mehta household", Vikram is Owner, his wife Priya is Adult, their 16-year-old son Kabir is Limited (he keeps his own school ID and passport up to date and sees only his own record), and Vikram's mother is a Member who can read appointment details but change nothing.

FAQs

Can an Adult invite people?

No. Only Owners can give access, change roles, share people into other households or delete the household.

What happens if I remove the only Owner?

You can't. A household always keeps at least one Owner, and you can't remove your own access.

Does the assistant respect roles?

Yes. The assistant only answers from records your role allows. See What the AI can see.

Troubleshooting

A Limited member says they can't see anything

Their login email isn't on their person record. Open their profile, and under Login & access grant Limited with their sign-in email.

Reveal shows "Not permitted"

Your role is Limited or Member. Ask an Owner to change your role if you need full values.

Export data isn't shown for a household

Only Owners and Adults see Export data on the People page.
