Onboarding follow-up emails

Configure the reminder emails sent to people who started setting up Personal360 and stopped — timing, wording, stop rules, and a dry-run preview of who would be emailed tonight.

Overview

When someone signs up but doesn't finish setting up — say they created a household and never added a person — Personal360 can send them a friendly reminder with a link back to where they stopped. The Incomplete setup follow-up section in Settings controls when it goes out, what it says, and when it stops.

Before you start

  • You must be a master admin.
  • Follow-ups are sent once a day by the scheduled job, and only when outgoing email is set up on the server.
  • Progress is read from the same setup checklist people see on their dashboard, so the email and the app always agree.

Steps

Set the schedule

  1. Open Settings and find Incomplete setup follow-up.
  2. Click Configure.
  3. Tick or untick Send follow-ups for incomplete onboarding.
  4. Set the four limits: | Field | What it controls | Allowed range | |---|---|---| | First follow-up after (days) | Days of no activity before the first reminder | 1–60 | | Then no sooner than (days) | Minimum gap between reminders | 1–90 | | At most (reminders) | Total ever sent to one account; 0 switches it off | 0–5 | | Stop chasing after (days) | Days since signup after which the account is left alone | 7–365 |
  5. Click Save schedule. Values outside the allowed range are adjusted to the nearest limit, and the saved values are shown.

Edit the message

  1. Under Message, change the Subject and Body.
  2. Use the fields listed under Available fields, such as {{firstName}}, {{daysSinceSignup}}, {{remainingCount}}, {{nextStep}} and {{continueUrl}}.
  3. Click Save message.
  4. To go back to the built-in wording, click Reset.
Note:The step checklist and the Continue button are added automatically below your text. They carry live data, so you can't write them yourself.

Check who would be emailed

Under Who would be emailed tonight, every account with incomplete setup is listed with its progress, outstanding steps and a badge: Due or Skipped. Each row explains why — for example "Already sent 2 of a maximum 2." This is a dry run; nothing is sent from this screen.

Example

The defaults are: first reminder after 3 quiet days, then no sooner than 7 days, at most 2 reminders, and stop after 45 days. A new user, Ravi Menon, signs up, creates a household and goes quiet. After 3 days the preview shows him as Due with "2 step(s) outstanding". That night he gets one reminder. He adds a person the next day, finishes setup, and gets no more emails.

FAQs

Will someone who finishes setup still get a reminder?

No. Completion is checked again at send time, so finishing setup ends the sequence immediately.

Are master admins emailed?

No. Master-admin accounts are always skipped.

What happens if I customise the message and the product changes later?

Your version stays pinned. Click Reset to return to the built-in wording, which is updated with the product.

Troubleshooting

Someone says they never got a reminder

Find them in Who would be emailed tonight and read the reason. Common ones: "Setup finished — nothing to follow up.", "Follow-ups are switched off.", or the account is past the cut-off.

Accounts show as Due but nothing arrives

Outgoing email may not be configured on the server. Ask whoever deploys Personal360 to check the mail settings.
