Link files and auto-sync
Link a single file from your connected drive or NAS to a document, or let the automatic sync read every new file and file it to the right person and module.
Overview
Once a household's drive or NAS is connected, there are two ways to bring files in without copying them:
- Link one file to a document you've already created.
- Auto-sync your whole storage folder. Every new file is read once, recognised, and filed: medical reports go to Medical & Health; passports, licences, Aadhaar, PAN, visas, insurance and similar papers go to IDs & Documents with their type, number and dates filled in; photos and screenshots are ignored.
Files are always referenced where they are, never copied.
Before you start
- The household needs a connected drive or NAS. See Choose where your files live.
- Browsing and linking files from connected storage needs the Owner or Adult role, because it shows every file in the household's storage. Read-only Members and Limited members don't see the link buttons and can upload files instead (Limited: to their own record). The sync panel is on File Storage, which only the household Owner sees.
- For the best auto-sync results, give each family member a folder named after them, such as
Asha Raoor justAsha.
Steps
To link one file:
- Open IDs & Documents (or the person's page) and find the document.
- Press Link cloud/NAS file. A Link a file from window opens at the last folder you used, or at Top.
- Press open to enter folders, then link next to the file.
- Personal360 reads the file and tells you which fields it filled, for example "Auto-filled from the document: number, expiry".
To use auto-sync:
- Open File Storage. Under your connected storage card, find the Sync panel.
- It scans everything under your storage folder every 4 hours. Press Sync now to run it straight away.
- The tiles show Linked, Waiting, Need attention and Ignored.
- Expand Recently filed to see what went where; open jumps to a filed document.
- If files need a look, expand the list to see why, fix the cause, then press Try these again.
Example
The Rao household's NAS has /Personal360/Asha/Passport.pdf and /Personal360/Kabir/blood-test-june.pdf. After Sync now, Asha's passport appears on IDs & Documents as a PASSPORT with its expiry date filled in, and Kabir's blood test appears in Medical & Health, ready for lab analysis.
FAQs
Which files does sync look at?
PDF, JPG, PNG, WEBP, GIF, TIFF and TXT files. System folders such as recycle bins are skipped. Each file is read only once.
Does sync work with Personal360 storage?
No. It needs a connected drive or NAS, because there's no external folder to scan.
Will a big folder take long?
Each run handles a bounded batch and continues on the next run, so large libraries fill in over a few runs.
Troubleshooting
Files show "No matching person"
The file isn't in a folder named after anyone in the household, and no matching name was printed on it. Rename the folder to the person's name (or add the person under People), then press Try these again. You can also file it by hand.
Link window says no cloud/NAS storage is configured
The household uses Personal360 storage. Ask the Owner to connect a drive or NAS on File Storage, or use Attach file instead.
